Account & Data Deletion
The short version
Ask us to close your account and we delete your workspace database after a 30-day grace period. Export what you need first — after deletion it cannot be recovered. We keep invoices, because tax law requires it.
Who can ask
A request must come from an administrator or an authorised signatory of the subscribing organisation. If you use Leascape through your employer, ask your own administrator: the workspace and its data belong to them, not to us.
How to ask
Email hello@leascape.com from a registered account address with the subject “Account deletion”, naming your organisation. We confirm the request, verify that it comes from someone authorised, and tell you the date on which deletion will take place.
Export your data first
Exporting is something you do yourself, from the reports section, while your account is still open. Take everything you need before the deletion date:
- Lease schedules, journal entry reports, journal voucher exports, maturity and disclosure reports — all downloadable as Excel files from the reports screens.
- Run them for every entity, every period and both the lessee and lessor sides you use. Whatever you have not downloaded by the deletion date is gone.
We do not prepare exports on your behalf, and once the deletion is done we cannot reproduce any of it.
What happens, and when
| When | What happens |
|---|---|
| Immediately | The subscription is cancelled and no further renewal is charged. |
| On the agreed date | User access is closed; the workspace is taken offline. |
| After 30 days | Your workspace database is destroyed. This is irreversible. |
| Within [BACKUP RETENTION] after that | Backup copies containing your workspace expire and are purged. |
The 30-day grace period exists so that a request made in error, or by someone who turns out not to be authorised, can be stopped in time.
What we keep, and why
- Invoices and tax records — for 8 years, as required by Indian company and GST law.
- A minimal account record — organisation name, the fact that an account existed and when it was closed, kept so we can answer later questions about the deletion.
- Support correspondence — kept for [LOG RETENTION] and then deleted.
None of this includes your lease data.
Deleting one user rather than the account
An administrator can deactivate an individual user at any time; that person immediately loses access.
Their name may remain in audit records — who calculated, approved or posted a lease version — because posted journal entries and approved lease versions are immutable by design. That history is what makes the ledger auditable, so we do not rewrite it. If personal data must be removed from those records for legal reasons, write to us and we will work out what is possible.
Deleting your website enquiry
If you only sent us a demo request or an email and want it removed, write to hello@leascape.com and we will delete that correspondence.
